Booking
Class booking that understands multi-week courses
Most booking tools assume a one-off drop-in. Pottery does not work that way. BookClay models a class as a template, a scheduled run, and the individual meetings inside it — so a six-week wheel-throwing course is one purchase covering six dates, with capacity and waitlist handled per run.
- Multi-meeting series, not just single sessions
- Automatic waitlist promotion when a seat frees up
- Custom intake questions at registration
- Required waivers gate checkout
Attendance
Check-in that feeds your perks and your safety roster
A tablet by the door lets members tap in and out. That single action tracks studio-time perks, builds the visit streak, and gives you a live roster of who is in the building — which matters the moment a kiln is running and someone asks who is still on site.
- Kiosk mode, no member login required
- Studio-hours perks decrement automatically
- Open sessions auto-close at end of day
- Live roster of who is in the building
Firing
Kiln tracking with pickup reminders that actually land
Pieces get logged in, moved through bisque and glaze, and marked ready. From there BookClay runs a reminder cadence you configure — up to five messages spaced days or weeks apart — until the work is collected. Shelf space is the constraint every studio underestimates.
- Piece status from greenware through pickup
- Configurable multi-message reminder cadence
- Per-scenario pickup types (class, member, event)
- STOP opt-out appended automatically
Memberships
Memberships, perks and billing in one place
Plans bill through Stripe on your own connected account. Perks — monthly studio hours, unlimited access, free firing weight, member discounts — attach to a plan or a tag and track their own consumption against a billing period.
- Stripe Connect, money moves to your account
- Perks by plan or by member tag
- Consumption tracked per billing period
- Member portal for self-service
Questions studio owners ask
- What does pottery studio software actually need to do?
- Four things most general-purpose booking tools miss: multi-week class series rather than single sessions, kiln piece tracking through bisque and glaze, pickup reminders so finished work does not occupy your shelves indefinitely, and membership perks such as monthly studio hours or included firing weight.
- How much does BookClay cost?
- BookClay is $250 per month, or $2,500 per year. There is a 14-day free trial and no credit card is required to start. Pricing is flat — it does not change with your member count.
- Do you take a cut of my class and membership revenue?
- No. Payments run through Stripe Connect on your own connected account, so customer money goes directly to you. BookClay bills you the flat subscription and nothing else.
- Can I use BookClay with my existing website?
- Yes. You can run BookClay as your hosted booking site, or drop an embed snippet into your current site so booking and membership signup render inline. During setup you pick which mode you want.
- What does the AI actually do?
- It handles the front-desk work: answering member questions over SMS, drafting retention messages for members who have gone quiet, classifying members as at-risk or lapsed, and surfacing all of it as suggestions you approve. It does not send anything to a customer without you approving it.
- How long does it take to get set up?
- The onboarding wizard walks you through studio details, connecting Stripe, importing members, and creating your first class. Most studios are taking bookings the same day.
